Customer Credit Summary Screen

Accounts Receivable totals are continually updated to the Customer Credit Summary Screen as Sales Orders are entered, changed, finalized, partially paid, or paid. Sales order totals are reflected in the Customer A/R Total even before the sales orders are finalized.

Sales Orders that are not finalized do not appear in the Accounts Receivable Invoices or on an A/R aging report, but they are shown in the customer A/R total as Non-Finalized Orders since the last Aging Total. The Customer Credit Summary screen shows the total outstanding for each of the eight previous weeks. It also shows the last five payments, and the last five Returned checks. All Sales and Payments for the Customer can also be displayed from this summary screen. When Aging reports are printed, there is an option to update the total for each period to the Customer A/R Total record.

The total for each aging period can be seen from Order Entry. Sales Orders and payments since the last Aging posted to this record are listed separately also. This lets companies keep close tabs on customer credit even before sales orders have been finalized. When companies get into “trouble”, they often order a lot of extra product to bring in additional revenue, then they may not be able to pay for the extra product they ordered. It is critical to keep an eye on customer totals, even before sales orders are finalized, to prevent problems and watch for changes in buying patterns.

The Customer Credit Summary screen can be displayed from any sales order (for those employees who are authorized to see that information) by pressing our “hot key” on a specific field. The customer A/R credit limit and current outstanding totals are displayed in Order Entry and a ‘flag’ can be set to prevent entering orders for customers over their credit limit. Customers can also be put on Credit Hold, preventing their use in Sales Orders. Vendors can be put on Hold also preventing their use in Purchase Orders or Payables.
